Privacy Policy
How Nomad Diaries Travel and Tours (“NDTT”) handles personal data — for travellers who book with us, and for anyone simply reading this website.
This policy restates Section 19 of our Terms and Conditions, which remains the binding version, and adds a plain account of what this website itself measures. Where the two differ, the Terms control.
Contents
1. Who we are
Nomad Diaries Travel and Tours is a private tour and travel-services company with its head office at Purok Perez, San Isidro, General Santos City, South Cotabato 9500, Philippines. We are the party responsible for the personal data described in this policy.
For any question about privacy, or to make a request about your own data, write to sales@ndtraveltours.com or message us on Viber or WhatsApp at +63 917 713 7789.
2. Personal data we collect
What we hold depends entirely on what you ask us to do. An inquiry needs very little; a visa application needs a great deal. We may collect:
- Names and contact details, including email, phone, and messaging accounts
- Passport and visa information, and civil-status documents where an application requires them
- Travel plans, itineraries, hotel and flight details, and pick-up addresses
- Payment and billing information
- Ages of travellers and luggage details, which determine the vehicle and any child seats
- Accessibility, mobility, or health-related details you choose to share because they are relevant to the service
- Your messages to us, support records, reviews, and booking history
We ask for sensitive documents only where they are reasonably necessary for the service you have requested.
3. Why we process it
- Responding to inquiries, preparing quotations, and confirming and delivering services
- Coordinating with drivers, guides, hotels, airlines, visa centres, embassies, insurers, couriers, payment providers, and network operators
- Processing payments, preventing fraud, and maintaining accounting and legal records
- Providing customer support and safety assistance, and handling complaints
- Improving our service, including understanding in aggregate how this website is used
- Sending operational updates and, where the law permits, relevant follow-up or offers
4. Legal basis and consent
We process personal data where it is necessary to take steps you have asked for, to perform the booking contract, to comply with the law, to protect vital interests, to pursue legitimate business and security needs, or where you have given valid consent. Where processing rests on consent, you may withdraw it at any time, without affecting anything already done in reliance on it.
5. Sharing and international transfer
We share only what a supplier actually needs to perform your service. Recipients may include drivers and guides, hotels, airlines, attractions, insurers, couriers, visa centres, embassies and consulates, government authorities, payment providers, technology providers, our staff and contractors, and professional advisers.
Because travel is international by nature, your data may be processed outside the Philippines — most often in Japan and South Korea, and in the countries where our technology providers operate. We apply reasonable contractual, organisational, and technical safeguards appropriate to the service and applicable law.
We do not sell personal data.
6. Retention and security
We keep personal data only as long as reasonably necessary for delivering the service, supporting you afterwards, accounting, legal compliance, fraud prevention, dispute handling, or legitimate business records. Documents held for a visa application are returned or disposed of once the application process is complete, subject to any record-keeping we are legally required to maintain.
We use reasonable administrative, physical, and technical measures to protect data. No system can promise absolute security, and we will not claim otherwise.
7. Your rights and how to exercise them
Subject to applicable law — in the Philippines, principally the Data Privacy Act of 2012 — you may ask us for information about how your data is processed, and request access, correction, objection, erasure or blocking, and the other rights available to you as a data subject.
Send requests to sales@ndtraveltours.com, with enough detail for us to verify who you are and find the right records. We will respond within the period the law requires. If you are not satisfied with our answer, you may lodge a complaint with the National Privacy Commission of the Philippines.
8. This website: analytics, cookies, and embeds
8.1 Our own analytics
We measure how this website is used with our own software, running on our own domain. It sets no cookies and stores no identifier in your browser for tracking. When you load a page, we record the page address and title, how long you stayed and how far you scrolled, the site or campaign that referred you, your approximate country, region, and city, and a coarse device, browser, and operating-system category.
To count returning visits without identifying anyone, your IP address and browser user-agent are combined with a secret and the current date, converted into an irreversible hash, and then discarded. We do not store your IP address. Because the date forms part of the hash, the same visitor produces a different value tomorrow — so the record cannot be built into a profile of one person over time. A session identifier is held in your browser's session storage and disappears when you close the tab.
If you would rather not be counted at all, visit ndtraveltours.com/?nd_exclude=1 once. That browser is then excluded permanently, until you visit /?nd_exclude=0 to undo it.
8.2 Meta Pixel
This site runs the Meta (Facebook) Pixel so that we can measure our advertising. Unlike our own analytics, it is a third-party service, it may set cookies and use identifiers, and it may connect your visit to your Meta account. It records page views, taps on our phone and email links, and completed inquiries. This processing is governed by Meta's own privacy policy, and you can limit it through your Meta account's ad settings or your browser's cookie and tracking controls.
8.3 Information stored on your own device
Two features keep data in your browser rather than sending it to us. If you begin filling in the inquiry form, a draft is saved locally so a refresh does not lose your work. If you build an itinerary in My Trip, your selections are saved locally so they are still there when you return. Both stay on your device until you clear your browser data or send the form to us — neither is readable by us until you press send.
8.4 Services this site connects to
| Service | Why it is here | What it receives |
|---|---|---|
| Vercel | Hosting and delivery of this website | Standard server request data, including IP address and approximate location |
| Database provider | Stores our analytics records | The measurements in 8.1, already stripped of any IP address |
| Meta (Facebook) | Advertising measurement — see 8.2 | Page views, contact taps, and inquiry events, with Meta's own identifiers |
| Web3Forms | Delivers the inquiry form to our inbox | Everything you type into the form when you press send |
| Google Fonts | Loads the typefaces this site is set in | Your IP address and browser, as part of requesting the font files |
| Google Maps | The embedded map showing our office | Your IP address and browser when the map loads, under Google's terms |
| PayCools | Processes card and e-wallet payments | Payment and billing details you enter on their payment page |
We do not run advertising cookies of our own beyond the Meta Pixel described above, and this site does not sell or share your browsing data with data brokers.
9. Children
This website is intended for adults arranging travel. We collect details about children — ages, heights, and weights for child seats, and passport details for visa applications — from the booking adult, not from the child. A parent or guardian is responsible for the information they share with us about a minor.
10. Changes to this policy
We update this policy when our practices, suppliers, or legal obligations change. The version number and date at the top of this page show when it was last revised. Material changes affecting existing bookings will be communicated to the affected customers directly.
